Meeting Room Guide - TTI HQ
This information applies to the following rooms at TTI HQ:

Before hosting your meeting from one of the rooms mentioned above, we highly recommend getting to the room 5-10 minutes ahead of the scheduled start time to verify the room equipment powers on and appears to be in working order. Please do not hesitate to contact NIS for assistance with connecting to your meeting.
In-Room Displays
The in-room displays are automatically powered on and off by the Teams Room system. Please do not manually turn the displays on or off as this will interrupt the automatic power signals. If you have issues with the room displays, please contact NIS.
Schedule and start a meeting
- Open the calendar in Teams or Outlook on your desktop and create a new Teams meeting
- Select the Room in which you want to meet under Location (example HQ1360@tti.tamu.edu)
- Complete and send the meeting invitation
- The meeting room will send you a confirmation e-mail if the reservation has been accepted
- The meeting will appear on the touchscreen console in a moment
- Find your meeting and tap Join
If a scheduled meeting doesn't appear on the room calendar, or if there is no Join button on the meeting tile, you'll need to invite the room, add the room on your personal device, or select Join with meeting ID and enter the meeting ID and passcode.
Join a scheduled meeting that's not on the console
- Join the meeting on your laptop, tablet or phone
- When you're choosing your audio and video settings, you'll have the option to add a room and use that room's audio and video equipment. Your personal device may even detect a nearby room using Bluetooth.
If it does, you'll see (suggested) next to Room audio. If the nearby room has already joined the meeting, just select Audio off to join with your audio off and avoid disrupting the meeting.
- If your device doesn't detect the room nearby, select Room audio and search for a room.
- If you've already joined the meeting on your personal device, you can select Show participants , then go to Invite someone or dial a number and search for the room name. Then, select the room and OK to call it into the meeting.
- Then, the room will ring. To join the meeting, select Accept on the room console.
NOTE: If the meeting in the room has already started and you are going to join it from your device, choose the Don’t use audio option. This will ensure that your device mics and speakers will be muted. If you don’t do this, it will cause an echo in the meeting.
Share your screen
There are three ways to share with both in-room and online participants from a personal device:
- Connect your personal device to the HDMI/USB-C cable connected to the table. Depending on your room settings, your screen may be shared automatically or you may have to select Share > Connected device > Share on the room console. Control when you want to broadcast your device's sound by turning on or off the toggle next to Share system audio.
- Join the meeting on your laptop, tablet or phone select Share , then the item you want to share. Go to Share your screen in a Teams meeting to learn more.
